2 Weeks Out
- Confirm the exact placement location relative to sun position during event hours, not just the best-looking spot in daylight photos
- Confirm content specs and aspect ratio match the actual wall configuration being delivered
- Review the weather contingency plan against the current seasonal forecast pattern and confirm who makes the final call to activate it
Week Of
- Check the real-time forecast against the wind-rated limit and weather contingency threshold
- Confirm load-in access to the outdoor site, including any path restrictions for heavy equipment
- Confirm a single day-of point of contact who can make real-time calls on weather or wind conditions
Day-Of
- Verify brightness and visibility on site before guests arrive, in the actual lighting conditions expected during the event
- Confirm backup power or fuel is on hand if running on a generator
- Confirm the weather contingency team knows the trigger point and has the backup plan staged, not improvised
