Product Launch AV Checklist: What to Ask Your NYC Production Company Before You Sign

A product launch has one job the rest of the event doesn’t: the reveal has to work exactly once, in front of the room, with no retake. That single-point-of-failure reality means vetting a production company for a launch requires a different set of questions than vetting one for a conference or a gala. Here’s what to ask before you sign.

Ask About Their Reveal-Moment Experience

Not every production company that handles conferences well has actually built a reveal moment before. Ask for specific examples: what was revealed, how, and what went into designing the sequence of lighting, sound, and visual cues that built up to it. A company with real launch experience will have a story ready. One without it will start describing general AV capabilities instead.

Ask Who Designs vs. Who Executes

On a conference, the distinction between the person who designs the system and the crew who runs it barely matters. On a launch, it matters a great deal. Ask specifically who is responsible for the creative concept behind the reveal versus who is physically operating the equipment that night, and whether that’s the same person or a coordinated team.

Ask About Content and Motion Graphics Capability

Find out whether motion graphics and custom content are produced in-house or outsourced to a third party, and if outsourced, who owns the timeline and revisions process. A launch reveal is often built around a piece of custom content synced precisely to a lighting or staging cue, and a disconnect between the content team and the production crew is a common point of failure.

Ask About Media and Press Logistics

  • Is there a dedicated press riser or set of positions separate from general attendee seating?
  • Is a clean video feed available for media, distinct from whatever is on the in-room screens?
  • Who coordinates with photographers and videographers on site so they’re not blocking sightlines during the reveal?

Ask About Contingency for the One Moment That Can’t Fail

Every other part of a launch can absorb a small hiccup. The reveal usually can’t. Ask specifically what backup exists for that one cue: a backup show control system, redundant power to whatever element is being revealed, and a plan for what happens if the primary trigger doesn’t fire.

THE SINGLE QUESTION THAT FILTERS OUT WEAK VENDORS

“What happens if the reveal cue misses?” A production company with real launch experience will have a specific, rehearsed answer. One that hasn’t thought about it will improvise on the spot, which tells you everything you need to know before you sign.
